Will I still be charged for deactivated Time Doctor users?

TL;DR:

Avoid charges for deactivated users by disabling their access more than one week before the billing cycle ends. Deactivated users retain data access.

No, deactivated users will not incur charges—if they are deactivated at least one week before the end of the current billing cycle. For example, if a user is deactivated six days before the cycle ends, billing will still apply for that user during that period.

Important: To retain historical data and allow possible reactivation, it is highly recommended to deactivate users for at least 90 days instead of removing them immediately.

How to Deactivate a User

  1. Navigate to Settings / Manage Users on the Time Doctor web dashboard.

  2. Locate the user under the Status column.

  3. Change their status to Deactivated.

What Happens After Deactivation?

  1. Deactivated users retain access to their web dashboard.

  2. They can view and print reports but cannot log into the desktop or mobile apps to track time.

  3. All historical data remains in the system and can be accessed or reactivated later.

  4. Owners cannot be deactivated.
