Setting Up Time Doctor Payroll for the First Time

TL;DR:

Enable and configure Time Doctor Payroll by visiting the Payroll Settings page. Set payment methods, pay periods, and default settings for users. Activate payroll to begin automated notifications and approvals. Customize individual user settings and apply defaults to streamline large-scale setups.

Begin using Time Doctor's Payroll feature by configuring the Payroll Settings page. This page enables defining pay periods, frequencies, rates, methods, and more.

To access the Payroll Settings page:

  • From the left-hand menu of the web dashboard, click the company logo > Payroll Settings.

Step 1: Turn On Payroll

Click the On button in the upper-left corner of the page to enable Payroll.

Once Payroll is activated:

  1. At the end of each pay period, users will receive an email summary of their hours and expected pay.

  2. The account owner will receive an email to review payroll details.

  3. Payments must be reviewed and approved before being processed.

  4. Select a preferred payment method, if applicable.

  5. Click Save Settings to apply any changes made.

Step 2: Configure Individual Users

Scroll down to review all company users. Configure each field for every user to ensure accurate payroll settings.

Note: The Hourly Limit column sets a cap for payroll calculations only. It does not restrict users from tracking time beyond that limit.

Step 3: Manage Payroll Participation

To remove a user from payroll:

  1. Click Remove under the Actions column. The user will move to the Not on Payroll section.

  2. To add them back, click the Not on Payroll button, then select Add to Payroll under Actions.

Step 4: Set Defaults and Pay Periods

  1. Click New user default settings to define payroll settings applied to all newly added users.

  2. Click Set payroll periods to customize the start and end dates for the following payroll types:

    • Weekly

    • Bi-weekly

    • Monthly

    • Twice monthly
